Delegate Access allows you to assign a Float user to help manage your spend-related tasks, such as uploading receipts, coding transactions, and submitting reimbursement reports. It's ideal for executives who want to offload administrative work to an assistant or finance team member while maintaining full control and a clear audit trail.
This guide will provide you with an overview of the delegate access feature and how it works.

What is Delegate Access?
Delegate Access allows a user (the "delegate") to take action on another user's behalf (the "delegator") for card transactions and reimbursement requests.
Delegates have the permissions to do the following on behalf of the delegator:
- Upload receipts, code transactions (e.g., GL codes, tax codes), and submit Reimbursement reports
Delegates do not have the permissions to do the following on behalf of the delegator:
- Approve spend requests
- View the delegator's card details or available card balance
Who can be a delegator and a delegate?
The following user roles within Float can be Delegators (i.e., can assign a user as their assistant):
- Administrators, Managers, Spenders, AP Clerks
The following user roles can be Delegates (i.e., can be assigned by a Delegator):
- Administrators, Managers, Spenders, AP Clerks
Some Important Considerations on Assigning Delegates:
- Bookkeepers cannot be assigned as a delegate or be a delegator
- A delegator can have multiple delegates assigned to them
- A delegate can support multiple delegators
- If you're unsure if you can assign a delegate, please reach out to an Admin to assign you a delegate on your behalf
How does Delegate Access work?

Assigning a Delegate for a User (Admins & Managers only)
Some Important Notes on Assigning Delegates:
- Any Float user can self-assign a delegate (excluding Bookkeepers)
- Only Administrators can assign a delegate for any other user
- Managers can only assign delegates to members of the team they manage within Float
Self-Assigning a Delegate:
Assigning a delegate can only be done from the Profile page. Please follow the steps below to learn how to assign a delegate.
How to self-assign a delegate:
- Log in to app.floatfinancial.com
- Navigate to Settings > Profile
- Navigate to the Delegation section at the bottom of the page
- In the Your Delegates tab, click Choose Delegate > select a user from the drop-down or search for them in the search bar
- Click Choose Delegate > a pop-up opens for a final confirmation > review that you've selected the correct user > click Confirm
Assigning a Delegate for a User (Admins & Managers Only):
Assigning a delegate can only be done from the User's profile page. Please follow the steps below to learn how to assign a delegate for another user.
How to assign a delegate for another user:
- Log in to app.floatfinancial.com as an Admin or Manager
- Navigate to Users > search the user's name you want to assign a delegate for > select the user to open their profile
- Click the Delegation tab (to the right of the "Profile" tab) > select a user from the drop-down or search for them in the search bar
- Click Choose Delegate > a pop-up opens for a final confirmation > review that you've selected the correct user > click Confirm
Please note: Managers can only assign a delegate to members of the team they manage within Float. Administrators can assign a delegate to any user (excluding Bookkeepers).
Deleting & Managing Delegates:
How to View & Delete a Delegate Assigned to You:
- Navigate to Settings > Profile > scroll down to the Delegation section
- In the Your Delegates tab, you can see all of your active delegates
- To remove a Delegate, click the "garbage can" icon > the user will move to the Archived Delegates section
- The "Archived Delegates" section will show you the date the assistant was added and when they were removed
Please note: Only Delegators can remove a delegate. An assigned delegate cannot remove themselves as another user's delegate.
How to See Who You're a Delegate for:
- Follow the same path as Step 1 above
- Click the Delegating For tab
- You can see which user you've been assigned as a delegate for
- Click Enter Delegate Mode to open your "delegate" account
Activity Logs
Activity Logs are available for each Transaction and Reimbursement report. These provide full visibility over who made what changes and when.
