Receipt uploads don't have to be a mundane month-end task for spenders! We've made it easier for you with our text receipt capture feature. You can now reply to transaction approval text messages with a photo of your receipt and we'll take care of the rest.
Setting up text receipt capture
Approved transaction notifications must first be enabled for the business. Any administrator can enable this by following the steps below:
- Login to app.floatfinancial.com and navigate to Settings
- Business Notifications> Company-wide Transactional Notifications
- Toggle on "Approved transactions"
Setting your User phone number
All Users, regardless of their role type, must set their phone numbers. Here are the steps on how to update your mobile number:
- Login to app.floatfinancial.com
- Settings > Profile
- Click "Edit" > you will be prompted to complete a Multi-Factor Authentication challenge using a code sent to your email address as a security measure
- After passing the security challenge, update/enter your phone number > click "Save"
- Your phone number has been added to your profile
Please note: SMS notifications for text receipt capture are enabled by default for physical cards only. If you need SMS notifications for virtual cards, please reach out to support@floatfinancial.com and we'll be happy to assist!
How to add receipts once you receive an SMS message
When a Spender makes a purchase, they will receive an SMS message to categorize all their transaction information.
There are two ways to share the receipt:
- Reply to the notification via SMS with a photo of the receipt
- Click the link in the SMS to upload the receipt and code other required fields in Float
Please note: Spenders cannot submit their transactions via the link if all the required fields are not filled out.
Important notes on SMS receipt capture
- If the Spender doesn't have a phone number registered with Float and has not opted into Slack messaging, they will receive an email as an alternative.
- If the transaction has been exported by an admin, the link will expire and will no longer be available. An admin will have to add transaction details for the spender in this case.
- If the Spender is missing a receipt, you can mark the receipt lost / no receipt on the transaction in Float.
- When a Spender purchases with their virtual card, they will receive an email message or a push notification in the Float mobile app (if push notifications are enabled), prompting them to categorize all their transaction information without having to log in to Float.
- If push notifications are enabled on the mobile app, Spender's will not receive an SMS notification. To disable push notifications on the mobile app, see: Float Mobile App
