Auto-lock is a feature in Float that helps enforce compliance with your organization’s Submission Policies. If a cardholder does not submit the required information for their transactions, and the number of policy violations exceeds the allowed limit, the card can be locked automatically.
This article explains how auto-locking works and how it’s configured by Administrators.
What triggers an auto-lock?
A card will be automatically locked when all of the following conditions are true:
The card has a Submission Policy assigned to it
That Submission Policy has auto-lock enabled
The number of non-compliant transactions on the card is higher than the allowed threshold
A transaction becomes non-compliant when a required field (such as a receipt or GL code) has not been completed once the transaction has posted. Transactions that have been exported do not count towards the number of non-compliant transactions.
When the number of non-compliant transactions exceeds the policy’s limit, Float will mark the card as Card locked due to submission policy violation.
How to set up auto-lock
Auto-lock is configured within a Submission Policy by a Float Administrator.
To enable auto-lock on a policy:
Go to Settings > Submission Policies
Click to open an existing policy or create a new one
Scroll to the Card Compliance section
Toggle on Autolock this Card for Policy Violations
Set the maximum number of violations allowed before a card is locked
Click Save Policy
Once this is enabled, any card using that Submission Policy will follow the auto-lock rules.
Who can set up auto-lock?
Only Float Administrators can enable or modify auto-lock settings. These settings apply at the policy level but can be overridden for specific cards when needed.
To learn more about overriding auto-lock for a card, see Overriding Auto-Lock on a Specific Card.
What happens when a card is auto-locked?
When a card is locked, the cardholder will be prevented from using the card until the required information is submitted or the violation count drops below the allowed limit. Float will automatically unlock the card once it returns to compliance.
Spenders can view and fix their missing information from either the web app or the mobile app. For details, see Why Is My Card Locked and How Do I Unlock It.
How to check if a card is auto-locked
Administrators and Managers can see the lock status of any card from the Cards page. A locked card will show the reason in the "Status" column, or you can use the Card Status > Locked filters.
Cardholders will also see a "Transactions missing information link" on their Overview page, which leads to the transactions that are missing information.
