Reassigning Virtual Cards
Virtual Float cards can be reassigned to other users in your business. You may want to do this when an employee changes departments or leaves your company, but you want to keep using the same payment method for recurring charges or subscriptions.
If the original cardholder is not being off-boarded from Float, their past transactions will stay linked to their account. Historical transactions won’t transfer to the new cardholder when the card is reassigned.
If the user is being removed from Float, follow the steps in this article: Deleting Users in Float.
Please note: Cards cannot be reassigned to a user who is not a member of the current card's Team. To complete the reassignment in this situation, first remove the Team from the card under "Card Settings", then reassign the card.
How to reassign a virtual card to another user:
- Log in to Float as an Administrator
- Go to Cards > Use the filters to find the card > Select the card
- Under "Card Settings", click the current cardholder's name
- Select the user you wish to reassign the card to > Confirm
Transaction Visibility After Reassignment
When a virtual card is reassigned, past and future transactions are visible based on who made them, and not which card was used or who currently holds it.
- The original cardholder will still see all transactions they made on the card before it was reassigned
- The new cardholder will only see transactions they make after the card is reassigned to them
- Administrators and Bookkeepers can see all transactions across the business, regardless of card reassignment
- A Manager who is the direct manager of both the original and new cardholder will continue to see all transactions from both users
Please note: The new cardholder will not be able to see transactions made by the previous cardholder on the reassigned card. This is expected behaviour.
Recurring payments on reassigned cards
It's possible to reassign a virtual card that has been saved with one of your vendors as a payment method for a recurring charge, such as a service or a subscription.
Reassigning the card usually does not impact future transaction processing as the billing address will remain the same, but it is still a good idea to update the saved payment details on the vendor's payment portal.
Doing so reduces the likelihood of any potential authorization issues in the future, and also provides you with an opportunity to transfer administration of the recurring service or subscription to the new owner of the reassigned card.
