How Float Exports Card Transactions to NetSuite
When you export transactions from Float to NetSuite, here's what happens:
- Journal Entry Creation: Each exported transaction creates a journal entry in NetSuite
- Transaction Details: The journal entry includes categories, tax, receipts, and labels the invoice as paid.
- Accounting Entries: The transaction amount is debited to the appropriate GL account and credited from the Float Clearing Account in NetSuite.

How Float Exports Reimbursement Reports and Bill Pay Invoices to NetSuite
Once a Reimbursement report or Bill Pay invoice is approved and exported, here's what happens:
- Vendor Bill Creation: Float creates an itemized vendor bill in NetSuite
- Reimbursement Report Details: The vendor bill includes the report name, GL codes, custom fields, and tax codes, and is assigned to the Vendor mapped to the requester
- Bill Pay Invoice Details: The vendor bill includes the vendor name, invoice number, bill date and due date, line items, GL account, custom fields, and tax code
- Accounts Payable & Clearing: The bill posts to the Accounts Payable account configured in your Reimbursement Settings, and clears through your Float Clearing Account once the payment is sent from Float

Approval Status on NetSuite Exports
Float has one Approval Status setting (Settings > Accounting Sync > Other NetSuite Options > Approval Status) that controls whether exported records are sent to NetSuite as Pending or as NetSuite Default (already approved). This setting applies to Card Transactions, Reimbursements, and Bill Pay together - it can't be set differently for each export type.
Card Transactions (Journal Entries)
The Approval Status in Float is automatically set to "NetSuite Default" by default. This will export card transactions as approved in NetSuite.
To export card transactions from Float to NetSuite as "Pending Approval", you will need to update the journal entry approval requirements in your NetSuite account. To do so:
- In NetSuite:
- Go to Setup > Accounting > Accounting Preferences > Approval Routing tab
- Enable the "Require Approvals on Journal Entries" setting
- In Float:
- Go to Settings > Accounting Sync
- In the Other NetSuite Options, select the drop-down for Approval Status > Select "Pending"

Reimbursements & Bill Pay (Vendor Bills)
Float doesn't set the approval status on a vendor bill directly. What you see in NetSuite depends on your NetSuite integration role's permissions and whether you have an approval workflow configured there. If your Reimbursement or Bill Pay exports aren't landing with the approval status you expect, migrating to the NetSuite Managed Role is the first thing to do:
