What happens if I remove my HRIS Connection?
Administrators in Float can disconnect their HRIS connection by going to Settings > HRIS > Disconnect.
This will not remove any users that have already synced through to Float from your HRIS system. However, it will prevent any existing user profiles from being updated and stop new user profiles from syncing through and appearing in Float under the "Suggested Users" tab.
Does Float update my HRIS?
We have a read-only integration, which means that we pull information from your HRIS to Float, but we won't push anything to your HRIS. As a result, once you connect the integration, you won't be able to update the names, job titles or managers of individuals that are linked from the HRIS through Float.
Any updates to those fields must be made in your HRIS, and the changes will be reflected in Float on your next daily sync.
When does the Daily Sync between Float and my HRIS take place?
HRIS connections with Float re-sync every 24 hours from when it was first configured. For example, if your initial configuration was completed at 11:00 am ET, the next sync will occur at 11:00 am ET the following day.
The sync updates the following information:
- Names
- Job Titles
- Emails
- Managers
- Profile Pictures
How are Suggested Users Populated?
Float syncs your HRIS daily and finds users in the HRIS who don't have an account in Float, based on a direct email match. Float will add those individuals to the "Suggested Users" tab in Float.
Float will also propose a role for the suggested users, based on whether they have direct reports in your HRIS or not. You can change the proposed role of the users and assign them to a team before you invite them individually or in bulk to Float.
If you have SSO/SAML set up, you must grant the individuals access to Float through your SSO system.
Some Important Considerations:
- Suggested Users will only be populated once they are made active/employed in your HRIS. Provisioned users with the statuses "pending" or "hired" with a start date in the future won't populate as a suggested user until their start date in the HRIS. They will then sync to Float on the next daily sync.
- Suggested Users will only populate if their email is configured in the "Work Email" section of their HRIS profile. If the emails are listed in the "Personal" or "Home" email section, these users will not sync as suggested users to Float.
Can I still edit user data manually if I have connected an HRIS integration?
If the Float user is linked with an HRIS user, you can't edit their name, job title, manager or profile photo within Float. These changes must be made in your HRIS and will be reflected in Float on the next daily sync.
You can change their role within Float (i.e., Spender, Manager, Administrator) by following these steps:
- Navigate to Users > search for the user you want to edit the role for > open their profile
- Navigate to Role > use the drop-down menu to select their new role
Please note: If the Float user is not linked with your HRIS, you can edit their information within Float
What happens when a user is terminated in my HRIS?
Employee Termination Date:
When an employee is marked as terminated in your HRIS, Float uses that same date to begin deprovisioning their account in Float.
For example, if an employee’s last day is two weeks from now and that date is entered as their "termination" or "last day" in your HRIS, Float will automatically notify the Primary Administrator via email and pause the user’s cards (if this setting is enabled) on that date.
Please note: After the user’s cards have been paused, an Administrator will need to manually delete the user from Float. For more information on deleting users, please review this article: Deleting Users in Float
Deprovisioning Settings in Float:
With an active HRIS integration, you can enable the pause card function in Float, which will pause all of the cards assigned to the user on the termination date set in your HRIS.
To enable this feature, please follow these steps:
Navigate to Settings > HRIS Integration > Deprovisioning Settings
Toggle on "Pause cards on user account deactivation."
Why isn't a Float user syncing with an HRIS user, when that individual is in my HRIS?
The Float email needs to be a direct match with the email in the HRIS.
Once the email is updated in your HRIS, any Administrator can update the user's email in Float so it will sync to your HRIS. Once the emails match, the user will sync correctly between both platforms on the next daily sync.
For detailed instructions on updating user emails in Float, please review this article: Changing a Float User's Email Address
Some important considerations:
- Once a user's email is changed in Float, you should inform the individual that their Float email has changed, and they will need to use the updated email to log in to their account (for non-SAML/SSO businesses)
- Their password will not change
- You cannot change the email of a Primary Administrator in Float
- If you need to change a Primary Admin's email, please reach out to support@floatfinancial.com, and we'll be happy to assist
If a user is promoted to a Manager in my HRIS, will their role in Float automatically change to a Manager role?
If a user is promoted to a manager in your HRIS, their role will not be automatically updated to a manager role in Float.
The Primary Admin (PA) will receive an email from Float when a "role mismatch" is discovered, which will instruct the PA to upgrade that user's role to a Manager, only if the user is currently a Spender. If the user is already an Administrator in Float, the PA won't get notified since that user has sufficient permissions to be someone's direct manager in Float.
Why isn't a Manager auto-syncing after I've connected my HRIS?
If a manager isn’t automatically being assigned to an employee during a sync, it is likely due to permissions. Only users with Manager or Administrator roles in Float will be assigned as the manager of their direct reports automatically. If the manager has "Spender" or "Bookkeeper" permissions, the sync won’t work.
To sync user-management assignments from your HRIS, ensure the managers have the Manager (or Administrator, if appropriate) role in Float. See: Assign or Update a Manager Role in Float
Another common issue is mismatched emails. The email address in Float must exactly match the one in your HRIS system for both the user and the manager. If there’s any difference, the sync will fail.
I am having trouble integrating Float with my HRIS, is there a guide I can follow?
If you're running into issues connecting your HRIS, you can review a full step-by-step guide for each HRIS integration here
Please note: Float doesn't integrate with all HRIS systems listed in the link above, so please review the article below to see which systems are supported by Float.
Can I re-sync my HRIS connection?
HRIS connections with Float re-sync once every 24 hours from when it was first configured.
If you wish to have your HRIS integration synced manually, please reach out to Float support via email at support@floatfinancial.com.
