This article explains how Submission Policies apply to card transactions, how to check your policy, and how your Float card can become automatically paused if it is in violation of a Submission Policy. You'll also learn where to view your transactions within your Float account.
Submission Policies
Submission Policies are defined by your business' Float Admins and dictate which information and/or attachments are required on each transaction. This may include items like receipts, descriptions, vendors, or general ledger (GL) codes.
When an admin creates a card for you, they'll assign a Submission Policy. If you're requesting a card as a spender and multiple Submission Policies are available (Pro plan only), you can select a Submission Policy that aligns with your Spend Request.
How to view your submission policy:
- Go to Cards > Physical/Virtual and select a card
- In the card window, look for the Card Settings table on the right side of the page
- Click the submission policy in the 4th row to open it
- A pop-up will display the required details for transaction compliance
Spend Compliance Policy Violation Pauses
Some submission policies include a Spend Compliance Violation Policy, which automatically pauses a card after a set number of policy violations. A transaction is considered to be in violation of policy if it is missing one or more required elements for 24 hours. When the number of violations exceeds the number defined on the Submission Policy, the card becomes automatically paused.
- To check if your card has this policy, view the Submission Policy, as above
- Look for the message: "Card will be automatically paused on # violations of the policy"
- You will know if your card is paused because it will say Paused with the reason Spend Compliance Policy Violation
- To fix this, you simply need to add the required details to your non-compliant transactions, making them compliant
- Use the Filter button to locate your transactions:
- Transactions > All Transactions > Filter > Compliance > Not compliant with policy
- You will see all transactions that are missing required details
- Use the Filter button to locate your transactions:
Viewing Transactions
As a spender, you can view your own transactions through the Transactions or Cards pages.
From the Transactions page you can:
- Access all transactions across your cards
- Check the Declined Transactions tab next to All Transactions for declined purchases
- Filter transactions by month or set a custom date range
- Click on a transaction to open a pop-up showing required fields for compliance
- View the status column indicating transaction compliance:
- Blue means compliant
- Grey means non-compliant; click on the transaction to view and edit details
From the Cards Page, selecting a specific card will allow you to see all transactions made on that card
