Every business on Float has a personal bill forwarding email address, found at the bottom of the Bill Pay page. Every time you send a Bill to your businesses personal forwarding address Float scans your Bill (using AI-Powered OCR) and save the bills into the bill pay 'Draft' section.
Acceptable file formats include:
- PNG
- JPG
If you attach multiple bills to a single email to your personal bill forwarding email address, one bill will be created for each file. If one email has three invoices attached as separate PDFs, 3 bills will be created in Float.
Auto-forwarding bills (Gmail)
You can configure Gmail to automatically send bills to Float Bill Pay - they will appear in "Drafts". Each Float user can only forward messages for a single Gmail address, which cannot be a group or an alias. To configure auto-forwarding from your Gmail account, follow these steps:
- In a web browser (non-mobile), open log-in to the Gmail using the account you want to forward from.
- In the top right, click Settings
See all settings
- Click the Forwarding and POP/IMAP tab
- In the "Forwarding" section, click Add a forwarding address
- Enter your personalized Float bill forwarding email address, found at the bottom of the Bill Pay page in Float
- Click Next > Proceed > OK
- Go back to the Settings page in your Gmail account and refresh your browser
- Click the Forwarding and POP/IMAP tab
- In the "Forwarding" section, select "Forward a copy of incoming mail to"
- Choose what you want to happen with the Gmail copy of your emails (we recommend keeping Gmail's copy in the Inbox)
- At the bottom of the page, click "Save Changes"
- Refer to the article here if you run into any issues.
Gmail will then start automatically forwarding your bills based on your present filters to your Float bill pay 'Draft' section. You can review the extracted information from the bill and send it for approval to be paid. If we are unable to upload a bill, simply try uploading it again!
Add your bill-forwarding address to a Google or Microsoft Group
If you wish to receive bills at your own email address simultaneously as they are uploaded to Float and don't wish to configure auto-forwarding, you can add your own email address and your Float Bill Pay forwarding address (found at the bottom of the Bill Pay page) to a Google or Microsoft Group. You can then provide the group's email address to vendors as the AP email address to receive invoices.
See Google and Microsoft's instructions for configuring groups:
Google Groups - Create a group & choose group settings
Microsoft - Create a group in the Microsoft 365 admin center
Note that your IT team may need to perform this configuration and/or approve adding an external email.
You can also add bills directly to the Float app by dragging-and-dropping or choosing a file from your computer, as outlined here: Uploading Bills to the Float Web Application
